Job Description – Operations Manager

Role Title: Operations Manager

Location: Remote (UK-based, occasional in-person meetings)
Hours: 40 hours per week (full time)

Salary: Competitive, commensurate with experience

Civic Net Zero (“CivicNetZero”) is an AI-enabled SaaS platform connecting cities, capital and capability to accelerate the global transition to net zero. Founded by Lord Marvin Rees OBE, and Tom Ilube CBE, CivicNetZero combines deep city expertise with cutting-edge agentic AI to transform how urban decarbonisation projects are identified, structured and funded.

Role Purpose

The Operations Manager provides strategic and administrative support to the CEO and Chair, ensuring their time and focus are directed toward the highest-value priorities. The role acts as a coordination hub across CivicNetZero’s founders, staff, investors, delivery partners, and wider professional network, helping the CivicNetZero maintain momentum.

CivicNetZero is an AI first organization. The Operations Manager is expected to be proficient and use all AI tools available to drive efficiency across the organization.

Key Responsibilities

Executive Support:

  • Manage complex, multi-domain diaries – scheduling, prioritising and protecting focus time.
  • Coordinate meetings, prepare briefing notes and ensure smooth follow-through on actions.
  • Handle correspondence on behalf of Civic Net Zero with professionalism,  discretion and accuracy.
  • Draft and format documents, presentations and board reports – utilizing AI tools as appropriate.
  • Track key commitments, deadlines and events, prompting timely preparation.

 

Operational Coordination:

  • Maintain structured filing systems / shared drives for documents and meeting materials.
  • Support CEO and Chair in investor, partner and board communications.
  • Liaise with CivicNetZero’s co-founders, strategic, advisors and external stakeholders to keep projects moving.
  • Use AI to capture meeting notes and then chase follow-ups and decisions       

 

Operations & Growth:

  • Own specific operational processes (e.g., partnership onboarding, customer success check-ins)
  • Support business development activities: research prospects, prepare outreach materials
  • Manage key vendor relationships and contracts

 

Information & Communications:

  • Use AI tools to research, summarise and present information to aid decision-making.
  • Assist with scheduling or logistics for travel, conferences and public engagements.
  • Support content preparation for speeches, panels and LinkedIn updates where appropriate.

 

Strategic Business Support:

  • Support fundraising activities: coordinate investor meetings, maintain CRM/pipeline tracking, prepare data room materials, draft investor updates
  • Track and report on key business metrics to the leadership team
  • Project manage specific strategic initiatives (e.g., partnership launches, pilot programs)

 

Marketing & External Relations:

  • Manage thought leadership presence: draft social media content, coordinate speaking opportunities, maintain media list
  • Support PR and communications strategy execution
  • Coordinate content creation for pitch decks, case studies, and marketing materials

 

Team Coordination:

  • As the business scales, coordinate cross-functional projects and maintain team alignment
  • Support recruitment processes and onboarding for new hires
  • Organize all-hands meetings, board meetings, and strategic offsites

 

Confidentiality & Integrity:

  • Handle sensitive information with absolute confidentiality.
  • Represent CivicNetZero with discretion, professionalism and empathy.

Person Specification

Essential:

  • Proven Operations experience supporting senior executives (preferably in start-ups,
    energy, or sustainability).
  • Excellent organisational, planning and communication skills.
  • High attention to detail, proactive and self-managing.
  • Comfortable working virtually with cloud tools (Outlook 365, Google, HubSpot, Slack, etc.).
  • Comfortable (or willing to learn) working with AI tools (ChatGPT, Claude, Gemini, Grok, etc.)
  • Discreet, trustworthy and able to manage competing priorities.

 

Desirable:

  • Experience in mission-driven or tech-for-good organisations.
  • Understanding of civic, public-sector or infrastructure delivery. 
  • Interest in climate action and AI-driven innovation.
  • Experience supporting a CEO / Board with governance materials.
  • Strong written communication and drafting skills.
